AI Policy Starter Kit for UK Small Businesses
AI is part of how your business works now, and you want to do it properly.
Drafting replies, summarising notes, tidying up documents. You want to keep all of that. You would also like to know your team isn't pasting client data into a free chatbot, and to have a decent answer when a customer asks how you handle it.
The AI Policy Starter Kit is four editable Word documents that become your own policy once you fill them in and sign them off. You pay once, and there is nothing to renew.
What you get
1. AI Use Policy. Sixteen short sections: which tools are approved, what information may go into them, who checks what AI produces, how people report problems, and what happens with personal data. It ends with a tool list, an owners table, a version history and a sign-off page.
2. Staff AI Ground Rules. The two pages your team will read. Traffic lights for what can go into an AI tool, seven rules, what to do when something goes wrong, and who to ask. Print it and pin it up.
3. AI Use Case Approval. How a new tool gets approved before anyone starts using it. A submission form, a decision record, four possible outcomes and two worked examples. You will use this next month, when somebody asks for a tool you have never heard of.
4. AI Rules Sheet. What the EU AI Act and UK data protection law require, and the date each rule starts. A dates page first, then one card per rule grouped by who it applies to. Every entry says where to check it.
Plus a Start Here guide that tells you which document to open first and what to do in your first 30 days.
Written for the UK, and for the EU rules that can reach you
There is no UK AI Act. UK businesses are covered by existing law, led by UK GDPR and the Data Protection Act 2018. But if the output of your AI reaches somebody in the EU, the EU AI Act can reach you too, with no EU office required. Most AI policy templates sold to UK businesses do not mention this at all. This one tells you what applies, and from when.
What this kit will not do
This is not legal advice, and buying it does not make you compliant. It will not tell you whether a particular use of AI counts as high risk, or whether the EU AI Act reaches your business. Those need a qualified adviser, and the kit marks every point where you need one. What you get is the paperwork, in plain words, ready to fill in.
Format
Four .docx files plus the guide, in a single download. Editable in Word, Google Docs or LibreOffice. Add your logo, change the colours, delete what does not apply. Once you approve it, it is your document.
Who it is for
Put this on the listing as its own block. Saying who it is not for sells more than it costs, because it stops refunds and it makes the rest believable.
